Welcome to TouchTempo. Here's a full walkthrough of your real estate CRM, built in Google Sheets, one page at a time. Start with the Start Here tab. It's a short guide to every tab, built right into your sheet, so you always know where things go. Settings, Contacts, Today, Activity Log, and Deals each have one simple job, and the guide explains each one in plain words. There are three ways to get your leads in: import a list, add one lead by hand, or use a Google Form.
Next, open Settings. Enter your name, phone, and brokerage once, and they fill into every message the sheet writes for you. Further down, Lead Type picks the follow-up plan. Buyers and sellers get the new lead plan, and past clients and your sphere get their own plans. To import Zillow leads, go to Contacts in Zillow Premier Agent, export a CSV file, and open it in Google Sheets. Copy one column at a time, starting with the names.
In your TouchTempo sheet, open Import Leads, click the first empty white cell, and press Control, Shift, V to paste values only. Then copy the phone numbers, and paste them under Phone. Do the same with the email addresses, under Email. For Lead Source, type Zillow, then select down the rows and press Control D to fill it down.
Paste the lead type next. Buyer or seller picks which follow-up plan each lead gets. This step is optional: paste the lead's message into Notes, and the created date into Date Added. Already in your CRM? It's flagged as a duplicate, and skipped. Every new lead gets a follow-up plan and shows up on Today, with the first message already written.
Just met someone? Use the New Lead tab. Type their name, a phone number or email, the lead type, and the date. Tip: Control and semicolon enters today's date. The Check column confirms it was added, and duplicates are caught automatically. And they're on Today right away.
Now, your daily routine. Every morning, open the Today tab. At the top, you'll see what's overdue, what's due today, and what's coming up this week. Below that is who to contact, why, and how: by text, call, or email. The message is already written. Copy it, and text it from your phone.
Email touches come with a subject and body, ready to go. When you're done, log it on the Activity Log tab. In the next empty row, enter today's date, then pick the contact's name,
and how you reached them, plus a quick note. Back on Today, that follow-up is gone, and the next one schedules itself. A few minutes a day, and nobody slips through the cracks. The Contacts tab keeps everyone in one place. Rows are colored by overdue, due today, and due this week.
The grey columns marked auto fill themselves in. They work out each contact's next follow-up date and the reason for it, so you never have to edit them. Cadences is your follow-up plan: a call and text on day zero, an email on day one, a call on day three, a text on day seven, and so on. On Templates, edit the wording once. Names fill in automatically. When a lead goes under contract, add it on Deals. Price, commission, and every contract deadline live in one row.
The Next Deadline column always shows what's due next. Today adds up your active deals and your pipeline. And any deal deadlines in the next fourteen days show on Today, right in your sheet. Coming soon: deal deadline reminders from your AI follow-up assistant.
Want help with the writing? Add the AI follow-up assistant. It drafts your follow-ups every weekday morning, and nothing is sent until you approve it. Each weekday morning, your AI follow-up assistant emails you a numbered list. New Zillow leads come first, with a reply ready. You still accept the lead in the Zillow app. Then come due follow-ups, call talking points, and replies that need an answer.
Nothing is sent until you say so. Review each draft, and send the ones you like with a click. Then just reply, like: sent one, four. Every touch is logged on your sheet, so your follow-ups keep moving. Want it fully hands-free? We can connect your Gmail, so approved messages send themselves.
Two more features are coming soon. Listing matches will read your client notes, find new listings that fit, and draft an email for your okay. And deal deadline reminders will remind you before inspection, appraisal, and closing dates. Ready to start? See plans, and start now at TouchTempo dot com. Questions?
